What is CA Practice?
CA Practice is a compliance workflow tool built for small CA firms. It automatically creates monthly and quarterly compliance tasks for each client (GST, TDS, PF/ESI, ITR, ROC, audit), tracks their status, sends clients reminders to submit documents, and keeps a record of what has been filed and what is overdue — so nothing falls through the cracks.
1. Set up your firm
After signing up, you land on your dashboard. If you invited staff during signup or later, they will receive an email invite to set their own password. Partners have full access to every client and staff member; staff members only see clients assigned to them.
2. Add your first client
Go to Clients → Add client and fill in their basic details (name, email, phone, GSTIN). Sensitive details like PAN, Aadhaar, and bank account numbers are encrypted before they are ever stored — even CA Practice staff cannot read them in plain text.
Assign the client to a staff member (or yourself) and select which compliance types apply to them — for example GST monthly filing, TDS quarterly return, or annual ITR. This is called a compliance subscription.
3. How tasks are generated
On the 1st of every month, CA Practice automatically creates the relevant compliance tasks for every active client subscription, with the correct due date already set (e.g. GST-3B due on the 20th, TDS payment due on the 7th). You don't need to create tasks manually — they simply appear on your Tasks board.
4. Creating a one-off task
Not every task comes from the compliance calendar. For one-off work — like preparing a balance sheet or a client-specific request — go to Tasks → + New task, pick the client, give it a title and due date, and it's added to your board like any other task. Ad-hoc tasks show up in reminders and status tracking the same way, and can be deleted if created by mistake (auto-generated compliance tasks cannot be deleted, only marked filed).
5. Requesting documents from clients
Open a task and click Request documents. This generates a secure, time-limited upload link that is sent to the client by email (and WhatsApp, if configured). The client does not need to create an account — they open the link on their phone, upload the requested files, and the task status updates automatically once documents arrive.
6. Task statuses explained
- Pending — task created, nothing requested yet
- Awaiting documents — a document request has been sent to the client
- Documents received — client has uploaded the required files
- In progress — staff has started working on the filing
- Filed — the filing is complete (final, cannot be undone)
- Overdue — the due date has passed and the task is not yet filed; CA Practice marks this automatically and can alert the partner
7. Reminders
CA Practice automatically sends reminder emails (and WhatsApp messages, if enabled) to clients before a document deadline, follows up if documents are still missing, and escalates to the partner if a task is at risk of becoming overdue. You do not need to send these manually.
8. Staff and roles
Partners can invite staff members from the dashboard. Staff accounts only see clients assigned to them, while partners see everything — all clients, all staff, and the full audit trail.
Frequently asked questions
Is my clients' data safe? PAN, Aadhaar, and bank account details are encrypted before they touch our database. All infrastructure is hosted in India. See our Privacy Policy for full details.
Can a client log in to check their status? No — clients never create an account. They only interact via the secure upload link sent to them for each task.
What happens if I mark a task "Filed" by mistake? Filed is a final state and cannot be undone in the product. Contact support if you need this corrected.
